March 5 2024 – Vestry Meeting Protocol During Rector Search

​We want to share with the parish how the Vestry will handle confidential discussions related to the rector search and hiring interim support during this period of transition.
The Vestry will add confidential Executive Sessions to the beginning of vestry meeting.
 

• There is one (1) Vestry meeting monthly:  7pm – 9pm on the 3rd Thursday of the month.
• Meeting will begin with a Confidential Executive Session for Vestry members only.
• Following the Executive Session, the Regular Vestry meeting will begin; all are welcome to the Regular session.
• Meeting will happen IN-PERSON and VIRTUALLY. 
  • Vestry will get a new VESTRY ZOOM LINK; there will be a “Waiting Room” available for non-vestry folks who want to join the Regular Session when it begins.
• Executive Sessions are slotted for 30 minutes, but they may go longer or shorter depending on topics. 
• Executive sessions are first on the agenda because they are the highest priority for the Vestry.
• Occasionally meetings may run longer than 9pm or the Vestry may need to schedule a separate session.
• Separate meeting notes will be maintained for Executive Sessions and for regular Vestry meetings.  The plan is to have a password protected Google files to store Executive Session meeting notes.
